Job Summary

The “Administration Manager” is responsible for overseeing all administrative functions of the garment/apparel factory, ensuring smooth day-to-day operations, compliance with company policies, and effective management of facilities, security, transport, and support staff.

Key Responsibilities

1. Administrative Operations

  • Manage overall administrative activities of the factory.
  • Ensure efficient office management, documentation, and record keeping.
  • Develop and implement administrative policies and procedures.

2. Facility Management

  • Oversee maintenance of factory buildings, offices, and utilities.
  • Ensure proper functioning of electricity, generators, HVAC, and water supply.
  • Coordinate repairs, renovations, and vendor services.

3. Security Management

  • Supervise security staff and ensure factory safety protocols.
  • Monitor entry/exit systems and visitor management.
  • Implement measures to prevent theft, pilferage, and unauthorized access.

4. Transport & Logistics

  • Manage company vehicles, fuel consumption, and driver schedules.
  • Ensure timely transportation for staff and goods (if applicable).
  • Maintain vehicle records and compliance documentation.

5. Vendor & Contract Management

  • Handle procurement of administrative supplies and services.
  • Negotiate contracts with vendors (cleaning, security, maintenance, etc.).
  • Monitor vendor performance and payments.

6. Compliance & Legal

  • Ensure compliance with local labor laws and factory regulations in Pakistan.
  • Maintain licenses, registrations, and statutory records.
  • Coordinate audits (social, compliance, safety).

7. Health, Safety & Environment (HSE)

  • Implement workplace safety standards.
  • Ensure fire safety systems and emergency preparedness.
  • Conduct safety drills and awareness sessions.

8. Staff Supervision

  • Supervise admin staff including peons, cleaners, drivers, and security personnel.
  • Manage attendance, discipline, and performance of admin team.

9. Cost Control & Budgeting

  • Prepare and manage administrative budgets.
  • Control expenses and optimize resource utilization.
  • Generate reports for management review.

Required Qualifications

  • Bachelor’s or Master’s degree in Business Administration or related field.
  • 5–8 years of experience in administration (preferably in garment/textile industry).
  • Strong knowledge of local labor laws and compliance standards.
