School Administration Manager – Roles & Responsibilities (UAE Schools)
The School Administration Manager is responsible for the overall management of all non-academic operations of the school, ensuring smooth, compliant, and efficient day-to-day functioning in line with UAE regulatory requirements. The role focuses on operational excellence, cost efficiency, safety, and delivering high-quality support services to students, staff, and stakeholders.
Key Responsibilities:
- Oversee the maintenance, safety, security, and cleanliness of the school campus, ensuring full compliance with UAE authorities such as SPEA/KHDA, Civil Defense, Municipality, and Health Departments.
- Ensure the school premises, facilities, and infrastructure are always operational, safe, and ready for academic and extracurricular activities.
- Manage administration, operations, transport, and clinic services, ensuring efficient coordination and service delivery.
- Supervise and monitor school transport operations, ensuring RTA compliance, route planning, student safety, and timely services.
- Ensure school clinic operations comply with DHA/MOH regulations, including licensing of medical staff and maintaining health and safety standards.
- Plan and lead the recruitment, onboarding, and performance management of administration and support staff.
- Maintain and monitor asset inventory systems, including asset tagging/barcoding and periodic audits.
- Ensure timely renewal of licenses, permits, and approvals (Trade License, Civil Defense, Municipality, Health Authority, Transport permits, etc.).
- Develop and implement SOPs (Standard Operating Procedures) for all administrative and operational functions.
- Prepare and manage budgets, procurement plans, and cost control measures, ensuring optimal utilization of resources.
- Liaise with vendors, contractors, and service providers, ensuring quality service delivery and cost efficiency.
- Support the Principal/Managing Director in executing strategic plans, expansion projects, and operational improvements.
- Ensure readiness for inspections and audits by KHDA/SPEA and other authorities.
- Lead health, safety, and emergency preparedness initiatives, including drills, risk assessments, and compliance with HSE standards (NEBOSH/IOSH practices).
- Promote and implement sustainability initiatives within the school premises.
- Maintain strong relationships with stakeholders, regulatory bodies, and corporate office.
Education & Experience:
- Bachelor’s Degree or equivalent qualification.
- Professional certification such as NEBOSH or IOSH is mandatory.
- Minimum 3–5 years of experience in school operations or hospitality/service industry, preferably within the UAE.
- Prior experience handling regulatory compliance (KHDA/SPEA, DHA/MOH, RTA, Civil Defense) is highly desirable.
Job-Specific Knowledge & Skills:
- Strong knowledge of UAE regulatory frameworks related to school operations.
- Excellent communication skills in English (written and spoken); Arabic is an advantage.
- Strong organizational, planning, and multitasking abilities.
- Proven ability to work under pressure and meet deadlines.
- High attention to detail with strong follow-up skills.
- Leadership ability with experience in managing diverse teams.
- Strong interpersonal skills with the ability to interact across all levels.
- Sound financial and commercial acumen with budget management experience.
- Proficiency in ERP systems,asset management tools, and MS Office.
- Ability to anticipate issues and implement proactive solutions.
