Administration Team Leader

Position Overview:


The Administration Team Leader is responsible for supervising and leading the administrative team to ensure efficient day-to-day office operations. This role involves overseeing administrative processes, coordinating office functions, guiding team members, and supporting the management team in implementing policies and procedures. The ideal candidate will drive continuous improvement and ensure a high standard of service delivery across administrative functions.


Key Responsibilities:


  • Supervise and lead the administrative staff, ensuring tasks are completed effectively and efficiently.
  • Assign, prioritize, and monitor daily tasks to maintain balanced workloads and meet departmental goals.
  • Provide training, coaching, and performance feedback to administrative team members to enhance their skills and productivity.
  • Oversee general office operations, including correspondence, document management, and filing systems to ensure organization and accessibility.
  • Ensure compliance with company policies, procedures, and quality standards.
  • Manage office supplies inventory and procurement to ensure timely and cost-effective purchasing.
  • Address and resolve escalated issues or operational challenges to prevent workflow disruptions.
  • Coordinate with transportation service providers to arrange safe and reliable employee transportation (e.g., company buses).
  • Develop contingency plans to address transportation issues, ensuring minimal disruption and employee punctuality.
  • Support management with operational insights, data, and recommendations in strategic planning and process improvement initiatives.


Qualifications:


  • Education:
  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Experience:
  • 7–10 years of experience in administrative roles, with a minimum of 5 years in a supervisory or leadership capacity.
  • Skills:
  • Computer Skills: Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Language Skills: Advanced level of English (written and spoken).
  • Personal Skills: Strong leadership, problem-solving, communication, teamwork, and time management abilities.
