We are seeking a proactive, detail-oriented Administrative Assistant to support our attorneys and legal staff. This role is ideal for someone who thrives in a fast-paced environment, enjoys being the organizational backbone of the office, and takes pride in precision and professionalism.

The Administrative Assistant will provide critical administrative and operational support to attorneys and paralegals, ensuring the seamless flow of daily activities. The position requires a confident multitasker with strong organizational and communication skills, and a working knowledge of real estate transactions and/or corporate filings is a plus.

Key Responsibilities

  • Serve as the first point of contact by answering calls, greeting clients, and managing all incoming correspondence
  • Maintain attorney calendars, schedule client meetings, and coordinate deadlines
  • Draft, edit, and format legal documents, letters, and reports with accuracy and professionalism
  • Organize and maintain client files—both electronic and hard copy—ensuring completeness, confidentiality, and compliance
  • Support real estate closings by communicating with title companies, lenders, agents, and clients
  • Assist with corporate filings, entity formations, and document management for ongoing corporate compliance
  • Track key dates and deadlines for closings, filings, and client deliverables
  • Perform general administrative duties including supply management, billing assistance, and data entry

Qualifications

  • Minimum 2 years of administrative experience in a legal or professional office setting (Real Estate or Corporate Law preferred)
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and PDF software
  • Familiarity with legal terminology, real estate documents (e.g., deeds, purchase agreements), and/or corporate filing procedures
  • Exceptional attention to detail, organization, and time management skills
  • Strong written and verbal communication abilities
  • Discretion and professionalism when handling sensitive or confidential information
  • Positive attitude and ability to work effectively both independently and as part of a team

Job Type: Full-time

Pay: $18.00 - $22.00 per hour

Expected hours: 35 per week
