This full-time position supports the Director and Administrative Team while serving as the first point of contact for families, staff, and visitors.

Position Overview
The Administrative Assistant supports and assists the Director while handling confidential and time-sensitive information. This role requires professionalism, strong communication skills, and familiarity with child care industry standards and regulations.


What You’ll Do
  • Answer phones professionally using a designated phone script
  • Greet families, staff, and visitors warmly, creating a positive first impression
  • Respond to email, phone, and in-person inquiries in a timely and courteous manner
  • Step in for the Director during absences to ensure continuity of operations
  • Schedule appointments, manage calendars, and coordinate meetings
  • Prepare memos, emails, reports, and professional correspondence
  • Write and edit letters, reports, and instructional materials
  • Organize and maintain digital and paper filing systems
  • Operate and navigate industry-specific child care software (training provided)
  • Manage multiple projects while meeting deadlines
  • Maintain confidentiality and handle sensitive information with discretion
  • Support opening and closing procedures as assigned
  • Attend trainings and workshops for ongoing professional development

Qualifications

  • Must be at least 21 years old
  • Valid driver’s license with a clean driving record
  • Willing to be trained to drive a 14-passenger bus if needed
  • Pass background clearance, fingerprinting, and random drug testing
  • Understanding of child care safety regulations
  • Highly organized, dependable, and punctual
  • Strong writing skills including spelling, grammar, and sentence structure
  • Ability to work independently and collaboratively
  • Ability to work a flexible schedule, including opening or closing shifts
  • Commitment to completing required child care training hours annually
  • Current Food Handler’s Permit and First Aid/CPR certification
  • Genuine desire to make a positive difference in the lives of children

Physical Requirements

  • Lift and carry up to 50 lbs
  • Sit for extended periods at a computer
  • Walk, stand, and move throughout the center
  • Sit on the floor and get up quickly if needed
  • Clearly see, hear, and communicate effectively
