Administrative Assistant

Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Responsibilities

  • Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette.
  • Perform CRM entries, maintain filing systems, and ensure all records are organized and easily accessible.
  • Coordinate calendar management, scheduling appointments, meetings, and reminders for the CEO.
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for document creation, editing, and collaboration.
  • Provide customer service support by assisting clients or vendors with inquiries and ensuring positive interactions.

Requirements

  • Proven office experience (minimum of 3 years) with strong clerical skills and familiarity with office management procedures.
  • Proficiency in computer literacy including Microsoft Office programs, Google Workspace, CRM use and/or understanding such as Salesforce, and proofreading skills.
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Strong typing skills along with time management abilities to meet deadlines consistently.
  • Experience with QuickBooks or bookkeeping is a plus for handling basic financial transactions.
  • Knowledge of phone etiquette, office procedures, filing systems, and calendar management is essential for success in this role.
