Administrative Assistant

Responsibilities

  • Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems to handle inquiries, schedule appointments, and relay messages efficiently
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Perform data entry tasks using Microsoft Office and Google Workspace applications with accuracy and speed
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
  • Provide clerical support such as proofreading documents, preparing reports, and handling correspondence
  • Offer customer support by addressing inquiries promptly and professionally via phone or email

Qualifications

  • Proven office experience or administrative experience demonstrating strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Familiarity with QuickBooks or other bookkeeping software is a plus
  • Excellent computer literacy with the ability to learn new software quickly
  • Strong typing skills with attention to detail for proofreading and data entry tasks
  • Exceptional organizational skills with the ability to prioritize multiple responsibilities effectively
  • Bilingual abilities are highly desirable to serve diverse client needs
  • Demonstrated customer service skills combined with professional phone etiquette
