Overview
Care Connection Transportation Services is seeking a highly organized, resourceful, and proactive Administrative Assistant to provide high-level administrative and creative support to our office team. This role is ideal for a self-starter who thrives in a fast-paced environment, needs minimal direction, and can manage multiple priorities with confidence and professionalism.
The Administrative Assistant will support leadership in both operational and strategic initiatives, including project coordination, contract management, marketing support, and identifying new business opportunities through contracts, grants, and competitive bids. This position offers a unique opportunity to contribute directly to the company's efficiency and long-term growth.
Key Responsibilities
Administrative Support
- Manage calendars, schedule meetings, prepare agendas, take meeting minutes, and follow up on action items.
- Coordinate internal communications and ensure timely task completion.
Project Coordination
- Track deadlines, deliverables, and task progress across multiple projects.
- Maintain organized project documentation and reporting systems.
Contract & Proposal Support
- Maintain compliance tracking systems.
- Ensure required documentation is complete and submitted accurately.
- Support contract renewals, audits, and reporting processes.
Business Development Support
- Research contract, grant, and procurement opportunities.
- Assist in preparing and submitting proposals, bids, and supporting documentation.
- Maintain tracking logs for submissions and deadlines.
Marketing & Communications Support
- Assist with designing and proofreading marketing materials (brochures, flyers, and social media content).
- Support content scheduling and engagement tracking.
- Review documents for clarity, professionalism, and accuracy.
General Office Administration
- Answer and direct phone calls.
- Manage office supplies and vendor coordination.
- Maintain filing systems (physical and digital).
- Ensure shared office spaces remain organized.
Clerical & Data Support
- Perform data entry and database updates.
- Prepare, print, scan, copy, and file documents.
- Maintain accurate digital recordkeeping systems.
Confidentiality
- Handle sensitive company and client information with discretion and professionalism.
Special Projects
- Take initiative and guiddiance when needed on additional administrative assignments as needed.
Qualifications
- Proven experience as an Administrative Assistant or in a similar administrative role.
- Ability to work independently with minimal supervision and take ownership of responsibilities.
- Experience supporting contracts, proposals, document management, or grant applications preferred.
- Strong research skills.
- Exceptional organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with Canva or similar design tools preferred.
- Understanding of social media platforms and content coordination.
- Strong proofreading skills and attention to detail.
- High level of professionalism, reliability, and discretion.
- High school diploma required; associate’s or bachelor’s degree preferred.

Job Type: Full-time
Pay: $20.00 - $23.00 per hour
