Administrative Assistant

A friendly and rapidly growing real estate management and investment firm is looking to hire an Administrative Assistant to support the Property Manager. This role is an exciting opportunity for someone to break into real Estate and property Management with the opportunity to grow.

The Administrative Assistant roles with provide administrative, clerical, and organizational support that enhances the efficiency and effectiveness of property management operations. This role is not only pivotal in maintaining smooth daily functions but also serves as a welcoming and informative point of contact for tenants, vendors, and internal staff.


**Key Responsibilities:**


**Administrative Support:**

- Deliver attentive administrative support directly to the Property Manager, ensuring that all tasks are executed meticulously.

- Organize and maintain comprehensive files, records, and documentation related to properties, fostering an environment of order and accessibility.

- Prepare a variety of reports, correspondence, notices, and spreadsheets, conveying important information clearly and concisely.

- Expertly manage calendars, schedule meetings, and coordinate appointments, ensuring the Property Manager is always well-prepared.


**Tenant & Customer Service:**

- Serve as the first point of contact for tenant inquiries, providing friendly and knowledgeable assistance via phone, email, and in person to create a positive tenant experience.

- Track and manage maintenance requests, following up diligently to ensure timely and satisfactory completion of services.

- Distribute important notices and communications to tenants, keeping them informed and engaged.


**Property Operations Support:**

- Assist in tracking rent collection, ensuring timely and accurate record-keeping to support financial integrity.

- Maintain precise and up-to-date records for tenants and vendors, facilitating seamless operational processes.

- Collaborate with vendors to coordinate maintenance, inspections, and repairs, ensuring properties are well-maintained and functional.

- Support the move-in and move-out processes by preparing necessary documentation and ensuring compliance with established protocols.


**Financial & Reporting Tasks:**

- Aid in invoice processing and expense tracking, contributing to the accurate management of financial resources.

- Prepare straightforward financial or occupancy reports that provide insightful data to support decision-making.

- Assist with budgeting and recordkeeping tasks as assigned, playing a role in maintaining fiscal responsibility.


**Qualifications:**

- High school diploma required; an associate degree is preferred.

- 1-3 years of administrative or office experience;

-- Exhibit proficiency in Microsoft Office applications (Word, Excel, Outlook),
