Administrative Assistant

Job Summary
Top Producing Loan Officer is seeking a highly organized, bilingual Administrative Assistant to support a fast-paced mortgage office in El Centro, CA.

This position works directly with Loan Officer, assisting with client communication, appointment scheduling, file organization, and pipeline management.

Fluent Spanish is REQUIRED. You will be speaking with Spanish-speaking clients daily.

Duties

  • Manage daily calendar and schedule appointments
  • Confirm appointments and reduce no-shows
  • Call new leads and follow up on inquiries
  • Send application links and assist clients with next steps
  • Request and organize borrower documents
  • Track loan conditions and pending items
  • Update CRM and maintain accurate client notes
  • Coordinate with processors, Realtors, escrow officers, and insurance agents
  • Maintain organized digital files and systems
  • Provide professional and friendly customer service at all times
  • Maintain a clean and organized office environment
  • Help coordinate open houses and events
  • Assist with flyers or document prep
  • Support client testimonial collection

Requirements

  • Proven office experience with strong clerical skills and familiarity with office management procedures
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Strong typing skills combined with attention to detail for proofreading and document accuracy
  • Experience with multi-line phone systems, phone etiquette, and customer support roles
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Personal assistant or medical/dental receptionist experience is a plus but not required
  • Knowledge of bookkeeping software such as QuickBooks is preferred but not mandatory
  • Demonstrated time management skills with the ability to handle multiple responsibilities efficiently
