Administrative Assistant

Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to support our small team in delivering essential payroll, AP/AR, basic HR, tip pooling, tax payments, and office admin services to local clients. This proactive role keeps operations smooth across multiple businesses in a fast-paced, collaborative environment. Ideal candidate is reliable, eager to learn QuickBooks tasks, and thrives on accuracy with client/vendor coordination.

Responsibilities

  • Process accounts payable: Sort/enter client-specific invoices into QuickBooks, obtain approvals, discuss priorities with manager, schedule ACH payments or print/mail signed checks
  • Manage accounts receivable: Generate/send invoices, record/match payments, send reminders/follow-up calls, prepare deposits including sales cash
  • Handle payroll: Request/verify timesheets from clients, onboard/offboard employees with compliance docs, import data, check for errors (sick pay, reimbursements, overtime), run payroll, print/deliver signed checks, send reports
  • Calculate tip pooling: Pull Toast POS data bi-weekly, update amounts for restaurant client payroll
  • Manage change: Perform bank runs to obtain register/tip change for two restaurant clients
  • Support HR: Assist hiring/firing processes, progressive discipline, maintain employee records, handle wage garnishments
  • Process taxes: Prepare/pay CDTFA sales tax (monthly prepayments, quarterlies) and payroll taxes
  • General admin: Collect receipts, resolve missing invoices, file documents, maintain organized records/workspace, proactively track deadlines

Skills & Qualifications

  • Proficiency in QuickBooks Online required
  • Experience with payroll (including tip pooling), AP/AR processing, and basic HR preferred
  • Strong attention to detail, organizational skills, and ability to multitask
  • Excellent phone etiquette and customer service for client/vendor follow-ups
  • Comfort handling cash and making bank runs
  • Resilience under pressure during payment delays
  • Independent desk work capability for full shifts
  • Positive attitude, quick learner, team-oriented
  • Local to Auburn area with reliable transportation
