Administrative Assistant

We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities

  • Manage front desk duties, greeting visitors and directing phone calls with professionalism and courtesy
  • Assist with Canva, Linked In and Mail Chimp marketing
  • Maintain organized filing systems both digitally and physically to ensure easy access to documents
  • Perform data entry, proofread correspondence, and support document preparation with accuracy and attention to detail
  • Utilize software tools such as Microsoft Office and D-Tools for scheduling, report creation, and communication
  • Assist with calendar management for team members, scheduling meetings and appointments effectively
  • Support bookkeeping activities using QuickBooks to track expenses and invoices
  • Provide excellent customer service by responding promptly to inquiries and supporting client needs
  • Handle clerical tasks including copying, scanning, faxing, and maintaining office supplies

Skills

  • Proven experience in office management or administrative support roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) applications
  • Familiarity with QuickBooks for bookkeeping and financial record-keeping
  • Excellent phone etiquette with experience managing multi-line phone systems in a professional setting
  • Strong typing skills combined with attention to detail for proofreading and data entry tasks
  • Ability to multitask efficiently while maintaining high levels of accuracy and professionalism
  • Experience working as a receptionist is a plus
  • Knowledge of office procedures such as filing systems, calendar management, and document organization
  • Personal assistant experience or familiarity with time management techniques enhances your effectiveness in this role
