Is your communication style reasonably social and full of data? Do you hate being wrong, and tend to err on the side of caution to avoid failure?

We're looking for an Administrative Assistant with a can-do attitude to support senior leadership at a growing public affairs and political marketing firm.

What your day-to-day will look like:

  • Coordinate and manage scheduling for senior partner, including complex travel arrangements
  • Serve as the office connector—the go-to person who keeps the team informed, aligned, and running smoothly
  • Organize and prepare for meetings, gathering necessary documents and managing logistics
  • Plan and coordinate one to two annual company retreats or all-hands meetings
  • Anticipate needs and follow through proactively to keep operations running smoothly
  • Prepare, reconcile, and submit expense reports
  • Prepare and send client invoices, track payments, and follow up on outstanding balances
  • Process vendor payments and maintain accurate financial records
  • Coordinate employee onboarding and offboarding, including new hire paperwork, equipment setup, and system access
  • Maintain personnel files and assist with basic HR administrative tasks
  • Maintain confidential and sensitive information with discretion
  • Support general office administrative tasks as needed

What we're looking for:

  • Highly organized with excellent time management skills and the ability to think ahead
  • Strong written and verbal communication skills with the discretion to interact with elected officials, campaign staff, and high-profile clients
  • Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
  • Ability to juggle multiple priorities and keep projects moving forward
  • A problem-solver who takes initiative and looks for ways to improve systems and processes
  • Comfort learning new software and systems

Nice to have (but not required):

  • Experience with accounting software, particularly Sage Intacct
  • Background in bookkeeping, accounts receivable/payable, or basic accounting functions
  • Familiarity with HR administration, onboarding processes, or office management

Pay: $55,000.00 - $65,000.00 per year
