Administrative Assistant

-Provide administrative support to the Service Department, ensuring smooth day-to-day operations

-Issue and track purchase orders (POs) and subcontracts in accordance with company procedures

-Coordinate service scheduling, technician calendars, and job assignments

-Prepare, process, and support service billing and invoicing activities

-Maintain accurate service records, contracts, and documentation within internal systems

-Serve as the primary administrative liaison for the Service Department, managing incoming calls, emails, and communications

-Coordinate meetings, prepare agendas, and support follow-up actions as needed

-Directly support the Service Manager with reporting, documentation, and operational tasks

-Assist with document control, filing, and compliance-related administrative needs

-Collaborate with internal teams and external vendors to support service execution


Qualifications:

-5+ years of professional working experience in an administrative based capacity

-Ability to provide comprehensive administrative support to a Service Department, ensuring efficient day-to-day operations

-Ability to issue, track, and manage purchase orders and subcontracts in accordance with company procedures

-Ability to coordinate service scheduling, technician calendars, and job assignments in a fast-paced environment

-Ability to compile proposals for emergency work and scheduling Technician’s based on need

-Ability to prepare, process, and support service billing and invoicing activities with a high level of accuracy
