Administrative Assistant

We are seeking a highly organized, professional, and client-centered Administrative Assistant to support our growing practice in Fairfield and Shelton, CT. This role serves as the first point of contact for clients and plays an essential part in maintaining smooth daily operations. The ideal candidate is warm, detail-oriented, proactive, and interested in being cross-trained in insurance billing and copay processing within a behavioral health setting.

Key Responsibilities

  • Maintain consistent front desk and administrative coverage based on assigned schedule
  • Serve as the primary point of contact for client calls, inquiries, and scheduling
  • Greet clients and maintain a welcoming, professional office environment
  • Manage provider calendars and appointment confirmations
  • Verify insurance benefits and assist with eligibility checks
  • Collect copays and outstanding balances
  • Support claims submission and billing follow-up processes
  • Maintain accurate client records and documentation
  • Collaborate with clinicians and leadership to ensure operational efficiency
  • Adhere to HIPAA, ethical, and practice standards

Qualifications

  • Prior administrative, front desk, or office support experience required
  • Experience in a medical, mental health, or healthcare setting preferred
  • Interest in learning medical billing and insurance processes
  • Strong organizational skills and attention to detail
  • Ability to handle confidential information professionally
  • Reliable, punctual, and comfortable in a fast-paced environment

Skills

  • Clear and professional written and verbal communication
  • Strong time-management and multitasking ability
  • Comfort using Electronic Health Records (EHR) systems
  • Basic knowledge of insurance verification and copay processing (preferred but not required)
  • Problem-solving mindset with strong customer service skills

Compensation & Schedule

  • Competitive compensation, commensurate with experience
  • Full-time preferred; part-time considered
  • Hybrid schedule (remote and in-office in Shelton as needed)
  • Consistent weekday availability required
