Administrative Assistant

Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems to handle incoming calls efficiently and courteously
  • Maintain organized filing systems, both physical and digital, including data entry and document proofreading
  • Utilize Microsoft Office Suite and Google Workspace tools for correspondence, reports, and scheduling
  • Assist with calendar management, appointment setting, and meeting coordination for staff and executives
  • Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking
  • Provide customer support via phone or email, addressing inquiries promptly and professionally
  • Perform clerical duties such as photocopying, scanning, faxing, and mailing documents
  • Manage office supplies inventory and coordinate office management activities to ensure a productive work environment

Experience

  • Proven office experience or administrative background with demonstrated organizational skills
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry tools
  • Experience with QuickBooks or similar bookkeeping software is highly desirable
  • Excellent typing skills with attention to detail for proofreading and document accuracy
  • Bilingual abilities are a plus to serve diverse clients and team members effectively
  • Prior experience in customer service or as a receptionist in medical or dental settings is advantageous
  • Familiarity with multi-line phone systems, calendar management, and general office procedures
  • Strong time management skills to prioritize tasks efficiently in a fast-paced environment
