Position Overview

O’Brien Commercial Properties is seeking a highly capable, detail-oriented Administrative Assistant to provide comprehensive administrative and operational support to executive leadership and brokerage operations. This role requires exceptional organizational ability, sound judgment, discretion, and the capacity to manage multiple priorities in a fast-paced environment. The Administrative Assistant will serve as a critical partner in ensuring operational efficiency, transaction coordination, and seamless day-to-day execution.

Key Responsibilities

  • Manage executive communications, including email correspondence, calendar oversight, and meeting coordination
  • Provide day-to-day administrative support and ensure efficient office operations
  • Maintain and organize digital file systems and company Drive infrastructure
  • Develop, document, and update Standard Operating Procedures (SOPs) to enhance operational consistency
  • Prepare and administer Listing Agreements and related brokerage documentation
  • Draft and coordinate Letters of Intent (LOIs), proposals, and document revisions
  • Oversee transaction coordination from initial listing through closing
  • Prepare and distribute Owner Reports and client communications
  • Manage property listings across relevant online platforms and databases
  • Track brokerage pipeline activity, deal flow, and lead management systems
  • Prepare executive presentations and offering materials with a high level of accuracy and

professionalism

  • Process invoices and oversee subscription and vendor tracking

Qualifications

  • Commercial real estate experience preferred
  • Demonstrated excellence in organization, prioritization, and time management
  • Strong written and verbal communication skills
  • Exceptional attention to detail and commitment to accuracy
  • Proficiency in Microsoft Office and/or Google Workspace
  • Ability to manage multiple projects concurrently in a deadline-driven environment
  • Professional demeanor with a high level of discretion and integrity

Pay: $45,000.00 - $50,000.00 per year
