SUMMARY OF FUNCTIONS
Position Summary
The Administrative Assistant / Receptionist serves as the primary point of contact for visitors,
employees, vendors, and contractors while providing administrative support to sawmill operations.
This role ensures professional front-office operations, accurate administrative support, and effective
communication across departments in a fast-paced industrial environment.
Essential Duties and Responsibilities
Reception and Front Office
- Greet employees, applicants, visitors, vendors, contractors, and delivery personnel in a
professional and courteous manner.
- Answer, screen, and route incoming phone calls and emails.
- Manage visitor sign-in, badge issuance, and basic site orientation, including safety
expectations.
- Maintain a clean, organized, and professional reception and office area.
Administrative Support
- Provide administrative and clerical support to mill leadership, human resources, safety, sales
assistant, and operations teams.
- Prepare correspondence, reports, spreadsheets, and meeting materials.
- Maintain organized electronic and physical filing systems.
- Schedule meetings, training sessions, interviews, and facility visits.
- Maintain appropriate levels of office supplies
Human Resources and Payroll Support
- Assist human resources with onboarding paperwork, orientation scheduling, and employee
physical and RVI file maintenance.
- Direct employee questions to the appropriate human resources or management contacts while
maintaining confidentiality.
- Perform other administrative duties as assigned to support the overall office and plant
operations
- Maintain confidentiality of sensitive company and employee information.
Safety and Compliance Support
- Ensure all visitors and contractors follow site safety procedures.
- Maintain safety training records, sign-in logs, and required postings.
- Assist Safety Manager with new hire orientation packets and PPE preparation.
- Assist safety related physical and RVI file maintenance.
- Adapt to evolving digital systems and continuous improvement initiatives.
Administrative Assistant
Required Qualifications
- High school diploma or GED required.
- One to two years of experience in a receptionist or administrative support role.
- Proficiency with Microsoft Outlook, Word, Excel, and basic office technology.
- Strong organizational skills and attention to detail.
- Professional appearance and customer-service mindset.
Preferred Qualifications
- Experience in manufacturing, industrial, or sawmill environments.
- Familiarity with human resources, payroll, safety, or timekeeping systems.
- Bilingual (English/Spanish) preferred.
