Administrative Assistant

Job Overview
We are seeking a highly organized and detail- oriented Administrative Assistant to join our fast-paced financial services firm. This vital role involves providing comprehensive administrative support to ensure the smooth and efficient operation of a Multi-million dollar practice. Responsibilities

  • Manage multi-line phone systems with professionalism, ensuring prompt and courteous customer service
  • Assist with data entry, filing, and processing transactions
  • Coordinate calendar management and schedule appointments
  • Prepare and format documents, reports, and client correspondence
  • Provide administrative support to advisors and team members
  • Maintain client files and ensure accurate recordkeeping
  • Support daily office operations and workflow coordination
  • Provide exceptional customer support through clear phone etiquette and attentive service to clients and visitors
  • Uphold confidentiality and professional standards at all times

Qualifications

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook required)
  • Strong computer skills and digital literacy, including comfort navigating web-based platforms and cloud based systems
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to prioritize tasks efficiently and meet dead lines in a fast paced environment
  • Professional demeanor and polished communication skills

Preferred (not required)

  • Prior experience in a high performance or results driven office environment
  • Experience in financial services or professional services industry
  • Associate or Bachelor's degree

Work Environment & Expectations

  • Professional office setting; business professional attire required
  • On-site position (remote work not available)

Compensation and Benefits

Job Type: Full-time

Pay: $22.00 - $24.00 per hour

Expected hours: 40 per week
