Responsibilities
- Greet visitors at the front desk with professionalism and warmth, ensuring a welcoming environment
- Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
- Handle data entry, filing, and document proofreading to maintain accurate records and high-quality correspondence
- Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
- Utilize computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for various administrative functions
- Assist with bookkeeping activities using QuickBooks or similar accounting software to support financial record-keeping
- Provide excellent customer service by responding promptly to inquiries via phone or email and supporting client needs
- Maintain organized files, manage office supplies inventory, and ensure the office environment is efficient and tidy
- Support clerical tasks such as typing reports, preparing presentations, and data entry to streamline daily operations
- Offer personal assistant support when needed, including travel arrangements or special project coordination
Requirements
- Proven experience in an office environment with strong clerical skills and organizational abilities
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Prior experience handling multi-line phone systems and providing customer support or customer service
- Bilingual abilities are highly desirable to assist diverse clients and team members effectively
- Strong attention to detail with proofreading skills to ensure accuracy in all documents and communications
- Exceptional time management skills with the ability to prioritize tasks efficiently in a fast-paced setting
- Knowledge of office management procedures including filing systems, calendar management, and office supply coordination
- Experience as a dental or medical receptionist or personal assistant is a plus but not required
- Demonstrated professionalism in phone etiquette and interpersonal communication skills
