This role provides essential administrative and clerical support to our clinical staff and contributes to the efficient operation of the practice. The Administrative Assistant serves as a primary point of contact for patients and plays a critical role in maintaining patient records and managing appointment schedules.
Key Responsibilities:
- Patient Engagement & Support:
- Greet and assist patients upon arrival and departure.
- Manage patient check-in and check-out processes, including collecting co-pays and verifying insurance information.
- Schedule, confirm, and reschedule patient appointments across multiple provider schedules.
- Handle incoming phone calls, addressing inquiries, taking messages, and directing calls to appropriate personnel.
- Assist patients with the completion of intake forms and other necessary documentation.
- Provide clear and accurate information to patients regarding appointments, billing, and general practice procedures.
- Administrative & Clerical Support:
- Maintain and update confidential patient records (both electronic and physical) with strict adherence to HIPAA regulations and internal protocols.
- Process and submit insurance claims; assist with basic insurance verification and patient billing inquiries.
- Manage incoming and outgoing mail, faxes, and electronic communications.
- Monitor and maintain office supply inventory, placing orders as needed.
- Ensure the reception area and common patient areas are tidy and organized.
- Perform data entry, filing, scanning, and other general clerical duties.
- Assist with the preparation of patient charts and necessary documentation for appointments.
- Support clinicians with administrative tasks as directed, such as preparing basic reports or organizing patient information.
- May include additional responsibilities as employee becomes efficient at different roles/tasks.
- Operational Support:
- Collaborate with the operations manager, clinical staff, and billing to ensure smooth daily operations.
- Identify and report any operational issues or supply needs to the Operations Manager.
- Adhere to all company policies, procedures, and safety guidelines.
- Participate in relevant team meetings and training sessions as required.
- May require periodically working at different Serene Psychiatry locations.
Qualifications:
- Experience: Minimum of 1-2 years of proven administrative, clerical, customer service experience, preferably within a healthcare or office setting. Experience with patient interaction is highly valued.
Pay: $19.00 - $23.00 per hour
