Job Title: Administrative Assistant

Reports To: Office Manager

FLSA Status: Non-Exempt

Based in Atlanta Georgia, SAF is a leader in the architectural metal products market with six operating locations in Georgia, Indiana, Tennessee, California, and Texas. We distribute, fabricate, and finish (anodize and paint) aluminum and other products primarily for the commercial construction market.

SUMMARY Responsible for ensuring office efficiency by supporting daily operations and assisting various departments, including Sales, CAD, Production, and Project Management. Key duties include order entry, invoicing, inventory support, document management, and providing general administrative assistance. Ideal candidate should be organized, able to multi-task, and pay close attention to detail.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

OFFICE MANAGEMENT:

Assist staff by maintaining office services and records; while striving for office efficiency.

· Serve as Administrative Assistant for office personnel i.e. CAD, Inside Sales, Production Managers, and Project Managers.

· Assist with order entry, shipments, and invoicing.

· Assist with inventory management.

· Use a wide range of office software, including email, spreadsheets, and databases.

· Maintain and order office and other supplies.

· Follow procedures for retention, protection, retrieval, transfer, and disposal of records.

· Handling paper flow of Accounts Payable documents.

· Help sales staff send proposals and sales literature.

· Assemble SAF binders for Fabrication and Installation training classes.

· Demonstrate flexibility and support team goals by completing tasks as assigned or as needed by the supervisor.

CUSTOMER SERVICE:

Provide excellent customer service by acquiring knowledge of SAF products and services

· Receptionist responsibilities on the phone and with walk-in customers and vendors.

· Handle basic sales inquiries.

REQUIREMENTS – requirements listed below are representative of the knowledge, skill, and/or ability required.

· Individual must be able to perform each essential duty satisfactorily.

· Applicant must have at least a high school diploma or equivalent.

EDUCATION and EXPERIENCE

· Associate’s degree from a four-year college or university; or 5 years related manufacturing experience and/or training; or equivalent combination of education and experience. If a candidate lacks an associate’s degree, they must score an average of 4 on the ACT WorkKeys.

LANGUAGE SKILLS - Good listening skills are a prerequisite. Candidate must be able to communicate effectively in English and accurately read and interpret production instructions and workplace graphics.

· Ability to read materials such as: company policies, procedures, and notices.

· Choose when to perform a step in a series of steps.

· Apply information/instructions to real real-world task.

MATHEMATICAL SKILLS – Candidate must be able to utilize critical thinking, mathematical reasoning, and problem-solving techniques to analyze and resolve real-world fabrication challenges.

· Perform calculations involving fractions, decimals, or percentages.

· Solve problems requiring one to two mathematical operations.

· Organize and sequence information accurately before performing calculations.

GENERAL SKILLS AND REASONING ABILITY

Must have the ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Job Type: Full-time

Pay: $21.00 per hour

Expected hours: No less than 40 per week
