Administrative Assistant

Summary
We’re looking for a sharp, reliable Administrative Assistant to support our Director of IT and Project Manager. This role is perfect for someone who thrives on organization, enjoys being the behind-the-scenes force that keeps things moving, and knows how to balance details with big-picture priorities.

You will be a key partner to leadership, helping manage schedules, streamline communication, and keep projects on track. If you like variety, problem-solving, and being trusted with important work, this role offers plenty of opportunity to make an impact.

Key Responsibilities

· Provide direct administrative support to the Director of IT and Project Manager

· Manage calendars, schedule meetings, and schedule travel as needed

· Prepare agendas, meeting notes, reports, and basic project documentation

· Track tasks, deadlines, and action items to support ongoing projects – keep projects moving forward

· Serve as a communication link between leadership, team members, clients, and vendors

· Assist with tracking product delivery, expense tracking, and basic project budget support

· Maintain organized digital and physical files, records, and documentation

· Support onboarding, training coordination, and internal communications when needed

· Handle confidential information with professionalism and discretion

· Perform general administrative duties to keep daily operations running smoothly

Technical Responsibilities

· Use and manage project management tools (e.g., ConnectWise, Jira, or similar) to track tasks, timelines, and deliverables

· Maintain IT and project documentation, and timelines such as procedures, products, meeting notes, and status reports

· Assist with technology-related scheduling, including system upgrades, vendor meetings, and maintenance windows

· Coordinate with IT team and vendors on requests, follow-ups, and basic issue tracking

· Support software licensing, client renewals, access requests, and onboarding/offboarding coordination

· Enter and update data in IT systems (ticketing systems, asset tracking, CRMs, or spreadsheets)

· Help prepare presentations, dashboards, or reports related to IT projects and performance

· Follow and reinforce IT processes, security policies, and documentation standards

Qualifications

· High school diploma or equivalent

· Minimum of 3 years’ experience

· Strong typing skills

· Strong organizational skills with the ability to manage multiple priorities and deadlines

· Clear written and verbal communication

· Ability to work independently while also supporting a team environment

· High attention to detail and strong follow-through

· Professional judgment and discretion when handling confidential information

· Reliable, adaptable, and comfortable working in a fast-paced environment

· Exceptional time management and organization skills

· Reliable transportation

Preferred (but not required)

· Experience supporting IT, technical teams, or project managers

· Familiarity with ticketing systems, asset tracking, or documentation platforms

Job Type: Full-time

Pay: $21.00 - $26.00 per hour

Expected hours: 40 per week
