Overview
We’re looking for a detail‑oriented Administrative Assistant to provide strong administrative and executive support while also assisting with basic reporting tasks. This role keeps our leadership team organized and ensures accurate, timely information flows across Human Resources and the business.
Responsibilities
Administrative & Executive Support (Primary – 70–80%)
- Manage calendars, schedule meetings, and coordinate appointments.
- Assist with travel arrangements and itineraries.
- Prepare meeting materials, agendas, and report packets.
- Track meeting action items and follow‑ups.
- Maintain office supplies, inventory, and equipment.
- Support special projects assigned by the VP of HR or CEO.
- Organize digital files and maintain accurate documentation.
- Prepare routine HR correspondence, such as onboarding emails and employment verifications.
- Provide customer service to employees by answering basic HR questions and routing inquiries appropriately.
Reporting & Data Coordination (20–30%)
- Compile operational and financial data from internal systems.
- Prepare recurring leadership and departmental reports.
- Maintain Excel trackers, dashboards, and reporting templates.
- Update weekly, monthly, and ad‑hoc reports.
- Identify discrepancies in data and escalate concerns.
- Reconcile information between systems.
- Support preparation of materials for executive and board reporting.

Qualifications
- Associate’s or Bachelor’s degree in Human Resources, or related field preferred.
- Proficiency in Microsoft 365 (Outlook, Word, Excel, Teams).
- Strong attention to detail and accuracy.
- Ability to follow established processes and instructions.
- Strong organizational and time-management skills.
- Ability to handle confidential information with discretion.
