Administrative Assistant

Texa-Rica is looking for a talented Administrative Assistant to join the Company Six team.


Position Overview

We are seeking a highly organized and proactive Administrative Assistant to support our VP of Strategic Operations and CEO. This role is essential in reducing the administrative workload on executive leadership, allowing them to focus on strategic priorities and high-impact initiatives.

The ideal candidate thrives in a fast-paced environment, manages many moving parts with ease, and brings a strong sense of ownership to their work. You’ll be trusted with confidential information, executive communications, and sensitive financial materials so discretion and sound judgment are key.

Key Responsibilities


Mail & Office Operations

  • Collect daily mail from the office and PO Box (Monday–Friday)
  • Scan, email, and route mail as directed
  • Take action on mail items when appropriate
  • Handle remote check deposits and occasional bank trips
  • Communicate regularly with the Finance team regarding deposits
  • Maintain organized filing systems (physical + Google Drive)
  • Errands as needed to support office operations


Finance & Administrative Support

  • Support accounts payable processes
  • Enter bill payments and assist with invoice tracking
  • Process expense reports and receipts
  • Match receipts in QuickBooks Online (QBO)
  • Assist with vendor onboarding and ongoing vendor support
  • Build and maintain spreadsheets to track key information and workflows


Executive & Operations Support

  • Communicate daily with Operations and Executive leadership on administrative needs
  • Manage follow-ups via email and phone
  • Provide scheduling assistance and coordination
  • Use Monday.com to manage tasks, requests, and priorities
  • Create and improve administrative systems that increase visibility and efficiency



Tools & Technologies

  • Google Suite (Gmail, Drive, Docs, Sheets, Slides)
  • Monday.com or similar project management tools
  • Scanner and check scanning tools
  • QuickBooks Online experience is a plus

Working Hours

Standard schedule is 8:00 AM – 5:00 PM CT , with flexibility as needed.

Must be able to support leadership schedules (CEO tends to work earlier; VP of Strategic Operations works later).
