Duties

  • Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and providing excellent customer service with professional phone etiquette
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and financial tracking
  • Organize and file documents systematically, ensuring easy retrieval and compliance with company policies
  • Assist with calendar management and scheduling appointments or meetings for team members and executives
  • Support office management tasks such as supply ordering, maintaining office equipment, and overseeing general administrative functions
  • Provide clerical support including proofreading documents, preparing correspondence, and managing mail distribution
  • Offer customer support by addressing inquiries promptly and professionally, whether via phone or email

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Familiarity with QuickBooks for bookkeeping and financial record-keeping
  • Excellent multi-line phone system operation and phone etiquette skills
  • Bilingual abilities are a plus to serve diverse clients effectively
  • Strong typing skills with high accuracy; capable of managing data entry efficiently
  • Knowledge of office management procedures, filing systems, and calendar management tools
  • Experience working in medical or dental receptionist environments is advantageous
  • Demonstrated ability to handle customer service interactions professionally and courteously
  • Personal assistant experience or medical receptionist background is desirable for supporting executives or healthcare teams
  • Ability to multitask effectively while managing time efficiently in a fast-paced environment
