Administrative Assistant

Position: Administrative Assistant/Office Manager

Position Type: Permanent

Location: Florham Park, NJ (Hybrid)

Hours: 7:30am – 3:30pm

Salary Range: $70,000-$75,000/year


We are seeking a highly detail-oriented and dependable professional to support the current Administrative Assistant/Office Manager and provide direct assistance to the Company President. This role is critical to the day-to-day financial, administrative, and compliance operations of the firm. The ideal candidate will be organized, proactive, and comfortable handling confidential information, multiple deadlines, and a wide range of responsibilities.

What you will be doing:

· Review employee timesheets on a weekly basis.

· Upload payroll data to the payroll website on a bi-weekly schedule.

· Reconcile accounts, including bank accounts, credit cards, and EZ-Pass, on a monthly basis.

· Report employee hours worked to government agencies on a monthly basis.

· Process and pay company bills on a weekly basis.

· Prepare and issue project invoices on a monthly basis.

· Prepare and organize financial files for the tax accountant annually.

· Order office supplies as needed to support daily operations.

· Review incoming project contracts for accuracy and completeness.

· Maintain and manage company insurance policies.

· Submit annual disadvantaged business program paperwork for multiple states.

· Assist with formatting and organizing project reports.

· Maintain and track project budget information.

· Complete the annual NJDOT settle-up report.

· Complete payment audits, required by various government agencies.

· Other projects as required by the business.

What experience we are looking for:

· Must have a bachelor’s degree in math/computer science/accounting or a related field.

· QuickBooks Online experience is REQUIRED.

· The candidate must be highly organized and able to manage multiple tasks and deadlines efficiently.

· Administrative and Office Management preferred.

· Candidate must successfully pass a background check.
