Administrative Assistant

Position Purpose/Summary:

Provides general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties. This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Qualifications:

  • Must be able to read, write, and speak English to communicate with Residents, Families, Staff and personnel of other organizations.

  • High school diploma.

  • One year of administrative experience is preferred.

Populations Served:

  • Services provided to internal and external people of all ages, primarily the geriatric population.

Requirements:

  • Must be able to read, write & speak the English language.

  • Must possess a valid RI driver’s license

  • Willingness to workdays, evenings, weekends & holidays as requested.

Physical Demands:

  • In performance of job duties may lift equipment, supplies, & stands, sits, walks, reaches, bends, kneels, pushes, pulls, & moves intermittently throughout workday in well-lighted/ventilated areas.

  • Works in all areas of the facility & subject to frequent interruptions, infectious diseases, substances, etc.

  • Be economical & careful with supplies, equipment, materials, etc.

  • Must be able to relate to & work, under all conditions/circumstances, with the ill, disabled, elderly, emotionally upset, & at times hostile people within the facility.

  • Ability to lift files, open filing cabinets and bend or stand as necessary.

  • Answers telephones and directs the caller to the appropriate associate. Will transfer a caller to an associate’s voice mailbox when the associate is unavailable.

  • Greet and directs visitors to the company.

  • Takes and retrieves messages for various personnel.

  • Provides callers with information such as company addresses, directions to the company location, company fax numbers, company website and other related information.

  • Receives, sorts and forward’s incoming mail. Maintains and routes publications.

  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)

  • Assists in the ordering, receiving, stocking and distribution of office supplies.

  • Assists with other related clerical duties such as photocopying, faxing, filing and collating.

  • Keep supply room and work areas clean and always organized.
