WSP is currently initiating a search for an Administrative Assistant for our Long Island City, NY office. Be involved in projects with our Mobility Operations Team and be a part of a growing organization that meets our client’s objectives and solves their challenges.
Your Impact

Assist the NYSDOT Project Manager in administering the Joint Transportation Management Center (JTMC) contracts, preparing annual budgets; financial record keeping

Assist Operations Manager in answering telephones, be point of contact for visitors, complete filing reports, perform general office responsibilities

Perform various administrative tasks supporting the 24/7 JTMC traffic operations

Manage recordkeeping for call contract-related correspondence and communications

Utilize a variety of software packages such as Excel, word processing, spreadsheets, graphics, and electronic mail to complete assignments as dictated by JTMC Manager

Develop memoranda, engineering style reports and graphics products per project requirements.

Review outgoing correspondence for proper grammatical usage, clarity, factual correctness, compliance with policy, program information and conformance to instructions. Ensure appropriate background material is attached

Answer the telephone, respond to questions concerning policy or procedures and refer calls to appropriate staff member for specific information

Manage consumable inventory – office supplies, paper products, other miscellaneous items

Manage calendars and conference room schedule for multiagency facility

Take meeting minutes to compile for distribution to meeting attendees

Set appointments/meeting invitations at the direction of JTMC Manager

Organize files and paperwork flow

Perform other miscellaneous tasks at the direction of the JTMC Manager

Recommend changes or modifications in the office, implement, or suggest new or revised procedures
Who You Are
Required Qualifications
-
Associate degree
-
0-2 years of full-time employment with administrative work, AND
-
Experience with business office procedures
-
Exercise responsible and ethical decision-making regarding company funds, resources and conduct, and adhere to WSP’s Code of Conduct and related policies and procedures.

Perform additional responsibilities as required by business needs.
All candidates must successfully pass a NYSP Criminal History Background Check.

Expected Salary: $37,800 - $68,100
WSP USA is providing the compensation range that the company in good faith believes it might pay and/or offer for this position within the state of Colorado, based on the successful applicant’s education, experience, knowledge, skills, and abilities in addition to internal equity and specific geographic location. WSP USA reserves the right to ultimately pay more or less than the posted range and offer additional benefits and other compensation, depending on circumstances not related to an applicant’s sex or other status protected by local, state, and/or federal law.
