ADMINISTRATIVE ASSISTANT
(PART-TIME, APPROXIMATELY 30 HOURS/WEEK)

REPORTS TO: EXECUTIVE ASSISTANT (DAY-TO-DAY); BOROUGH MANAGER (OVERALL)
FLSA STATUS: NON-EXEMPT (HOURLY; OVERTIME ELIGIBLE)
WAGE RANGE: $18 - $21 PER HOUR
General Summary
Under direction; provide customer service to residents and visitors; respond to questions and help people resolve problems with municipal services; process payments and perform a variety of administrative and clerical tasks to ensure smooth and efficient processing of information and delivery of services to the public. This position supports Council packet production, website posting and routine communications under Executive Assistant guidance, and provides defined backup coverage for higher-risk tasks only when assigned and trained.
Essential Duties and Responsibilities
- Front office customer service and public interaction (primary function).
- Manage incoming calls and greet visitors; direct inquiries or complaints; take messages; announce calls or visitors; manage incoming emails; provide routine information or route to appropriate staff; help customers solve problems and find information.
- Communicate customer needs requiring consideration to Borough management.
- Public information, permits, and complaint routing.
- Provide general information regarding refuse and recycling, water and sewer bills, building and zoning permits, maps, and ordinances; distribute approved permits and receive fees for permits, publications, and maps.
- Receive general code, zoning, and stormwater complaints and convey to the Codes Official; refer safety questions to State Police.
- Council packet preparation and administrative support to Borough Secretary functions.
- Prepare Council packets and related meeting materials as assigned by the Executive Assistant.
- Assist with Borough Secretary support tasks as assigned.
- Website posting and routine communications (under Executive Assistant guidance).
- Post approved agendas and minutes and routine announcements to the Borough website and other approved communication channels, as assigned and reviewed by the Executive Assistant.
- Recommend website updates to address recurring customer service questions and concerns.
- Mail, copying, scanning, and office operations.
- Sort and distribute mail; prepare outgoing mail; assist with bulk mailings.
- Operate office equipment (computer, copier, mail machine) and support copying and scanning for office workflows.
- Order office supplies and uniforms as authorized; maintain bulletin board and publications rack; perform heavy lifting of office and recreation supplies as required.
- Scan and file incoming documents regarding Borough properties and support digitization of older property files as assigned.
- Cash-handling and limited finance support (routine and backup only).
- Process routine counter payments and provide documentation to the Accounting Specialist in accordance with Borough cash-handling procedures.
- Assist with Borough Treasurer tasks as assigned, including coding and depositing incoming checks (sewer accounts, industrial users, recycling) when authorized.
- Coverage and training.
- Provide coverage for other administrative office positions during absences or heavy work periods as assigned.
Job Specifications
- Education/Experience:
- High school diploma or equivalent required; administrative office experience with customer service and payment processing preferred.
- Knowledge/Skills/Abilities:
Ability to organize work and manage multiple priorities; respond tactfully to complaints and questions; maintain confidentiality; operate office equipment and standard software; demonstrate honesty and convey integrity to maintain public trust.Working Conditions
