Position Summary
The Technology Division Administrative Assistant / Support will serve as a key operational support role for the Technology Director and the wider division. This role ensures the smooth execution of all administrative and communication tasks, efficient internal coordination, and timely follow-up on deliverables, meetings, and reporting. The ideal candidate is highly organized, tech-savvy, proactive, and able to manage multiple priorities with professionalism and precision.
Key Responsibilities
- Administrative & Operational Support
- Organize, maintain, and structure all internal administrative files, forms, and communication logs.
- Maintain and monitor the task tracking list for deliverables assigned across the division.
- Prepare and archive internal documentation, including memos, approvals, and reports.
- Support the execution and tracking of policies, circulars, and internal notices under the guidance of the Technology Director.
- Meeting & Calendar Management
- Schedule meetings, send calendar invites, and coordinate availability across internal and external teams.
- Prepare meeting agendas and summaries, and follow up on action items post-meeting.
- Track and remind the Technology Director and team members of key deadlines and meetings.
- Communication & Reporting
- Assist in preparing internal presentations, reports, and communication summaries.
- Follow up with team members on pending tasks, updates, and requested documentation.
- Ensure clear and professional communication across all internal and external interactions.
- Division Organization & Documentation
- Organize and maintain the division's OneDrive folder structure and digital archives.
- Ensure proper version control, logical file naming, and consistent documentation.
- Support in preparing and maintaining reports using Excel, Word, and other Microsoft Office tools.
- Task Monitoring & Follow-up
- Track ongoing requests and instructions from the Technology Director to ensure timely updates.
- Coordinate feedback loops and status reporting from various departments under the Technology Division.
- Proactively seek clarification and updates to maintain operational alignment.
Required Skills & Qualifications
- Bachelor’s degree in business administration, Information Management, or a related field.
- Minimum of 2–4 years of relevant administrative experience, preferably in a technology or digital content environment.
- Proficient in Microsoft Office Suite, with advanced skills in OneDrive, Excel, and Word.
- Strong organizational and time-management skills with a high attention to detail.
- Excellent written and verbal communication skills in English.
- Ability to handle confidential information with integrity and discretion.
- Punctual, responsible, and capable of handling multiple ongoing tasks.
- Flexible and proactive in adapting to new technologies, tools, and working structures.
Preferred Attributes
- Experience in EdTech, software product environments, or digital teams.
- Familiarity with task tracking and project coordination tools such as Smartsheet.
- Strong documentation and internal reporting experience.
