Administrative Assistant

We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! Duties

  • Greet customers and vendors warmly, providing outstanding customer service and ensuring a positive first impression
  • Manage multi-line phone systems, direct calls efficiently, and handle inquiries with professionalism and courtesy
  • Maintain organized filing systems, perform data entry, and ensure accurate record-keeping using digital tools such as Microsoft Office
  • Schedule appointments, coordinate calendar management, and assist with personal or professional tasks as needed
  • Process incoming and outgoing correspondence, proofread documents for accuracy, and perform clerical duties including photocopying and faxing
  • Support office management by overseeing supply inventory, maintaining cleanliness, and ensuring the front desk area is welcoming and organized
  • Assist with bookkeeping tasks using QuickBooks to support basic financial record-keeping

Experience

  • Proven office experience or clerical background demonstrating strong organizational skills and attention to detail
  • Prior experience in customer service or customer support roles emphasizing excellent phone etiquette and interpersonal skills
  • Familiarity with office management tasks such as filing, data entry, calendar management, and document proofreading
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), and basic data entry skills
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Experience working in a water district is a plus but not required; relevant personal assistant experience is also valued
  • Strong time management skills to prioritize tasks efficiently in a busy environment

Pay: $18.00 - $20.00 per hour
