Administrative Assistant

Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, enhance workflow efficiency, and provide exceptional customer service. The ideal candidate will bring a proactive attitude, excellent communication skills, and a passion for maintaining a well-organized work environment. As an Administrative Assistant, you will be the backbone of our office, ensuring smooth administrative processes and creating a welcoming atmosphere for clients and team members alike.

Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems to handle incoming calls efficiently and courteously
  • Perform data entry tasks using Microsoft Office and Google Workspace tools, maintaining accurate records and files
  • Assist with bookkeeping activities utilizing QuickBooks to support financial recordkeeping and invoicing
  • Coordinate calendar management and schedule appointments or meetings for staff members
  • Support office management tasks such as filing, proofreading documents, and organizing supplies
  • Provide exceptional customer support through prompt responses to inquiries and effective communication
  • Handle clerical duties including photocopying, faxing, mailing, and maintaining organized filing systems
  • Support personal assistant tasks as needed, including managing schedules and preparing correspondence

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Familiarity with QuickBooks or bookkeeping experience is preferred
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong typing skills with high accuracy and speed; ability to perform data entry efficiently
  • Previous experience in customer service or as a receptionist in medical or dental settings is advantageous
  • Demonstrated ability to manage time effectively in a fast-paced environment
  • Office management or clerical experience combined with good computer literacy is essential
