Administrative Assistant

Wine & Spirits importing company is seeking an experienced Administrative Assistance in its busy Aventura office.

Duties include but are not limited to:

Administrative/HR duties:

  • Answering phones
  • Mail processing and distribution
  • Receive, organize and send out samples as required
  • Arrange travel and hotel reservations
  • Maintaining and order clerical and general office supplies
  • Expense reports review and approval for AP processing
  • Monthly T& E actual vs budget report distribution
  • Admin support to sales teams
  • Prepare payroll for Controller’s approval
  • Assist with various HR duties (SUI updates, Benefits updates, PTO updates, 401k notices, etc.)

Compliance duties:

  • Manage the licensing, label registration, and TTB Cola’s via BevLogic portal
  • Cola waiver requests (TTB portal)
  • Create and manage UPC Codes
  • Update and distribution of project flow charts
  • Weekly compliance status report
  • Prepare monthly Bev Tax reports
  • Maintain compliance records organized in company’s compliance drive

Marketing duties:

  • OCM
  • VIP: Monthly and ad hoc reporting & system management
  • Karma app management
  • SRS Manual depletions
  • SRS catalog management and SGWS Item flow
  • Maintain and create domain registrations (Namecheap)

Demonstrated Attitude and Ability:

  • Excellent written & communication skills with strong attention to detail
  • Must be able to meet firm deadlines
  • Ability to work independently on projects
  • Ability to handle constantly changing agendas
  • Ability to work independently on projects
  • Ability to prioritize activities and multitask / self-starter
  • Timely follow up and follow through on all assignments
  • Professional telephone and customer interface etiquette

Job requirements:

  • Minimum 3 years Administrative Assistance experience
  • Experience in the wine & spirits industry a plus
  • Detail oriented, able to multi-task, very well organized
  • Strong computer skills – Microsoft Office suite
  • Intermediate to advanced Excel skills is a must
  • May require lifting boxes weighing up to 50 lbs.
