Position Description:
The Operations Department is looking for an organized, detail-oriented, and proactive Administrative Assistant to support daily operations across our fast-growing beauty brands.
The Administrative Assistant will handle phone and email communication, process wholesale and retail orders, manage invoicing, create shipping labels, schedule shipping pickups, and maintain filing. This role includes communicating with customers and sales reps regarding orders, inventory, and general questions. Strong organizational skills, attention to detail, and the ability to multitask and prioritize are essential. Experience with Excel and Google Docs is required; EDI experience is a plus.

This is a part-time,in-office position requiring 20-25 hours of work per week.
Responsibilities:
- Manage incoming phone calls and email inquiries, providing timely and professional responses to customers, vendors, and internal teams
- Process wholesale and direct-to-consumer (DTC) orders accurately and efficiently
- Generate and manage invoices, ensuring accuracy and timely distribution
- Create shipping labels and coordinate outbound shipments, including scheduling carrier pickups
- Maintain organized digital and physical filing systems for orders, invoices, and operational documents
- Support inventory coordination by communicating stock levels, backorders, and replenishment needs
- Assist with data entry and reporting in Excel and Google Docs to support business operations
- Troubleshoot order discrepancies and resolve customer concerns in a timely, solutions-oriented manner
- Support EDI order processing (if applicable) and assist in maintaining accurate system records
- Prioritize and manage multiple tasks and deadlines in a fast-paced environment

Qualifications:
- 2+ years of experience in an administrative, operations, customer service, or order management role
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively in a fast-paced environment
- High attention to detail and accuracy, particularly when processing orders, invoices, and shipping information
- Excellent written and verbal communication skills, with a professional and customer-friendly tone
- Must be fluent in English
- Proficiency in Microsoft Excel and Google Docs/Sheets (comfortable with basic formulas, data entry, and organization)
- Experience with order processing, invoicing, or shipping/logistics is strongly preferred
- Familiarity with EDI systems is a plus, but not required
- Ability to problem-solve independently and handle issues with a solutions-oriented mindset
- Comfortable working cross-functionally with sales, operations, and customer service teams
- Reliable, responsive, and able to follow through on tasks with minimal supervision
- Experience working with e-commerce or wholesale order systems is a plus
- Positive attitude and willingness to take ownership of day-to-day operational tasks
Physical Requirements:
- Must be able to travel to our Chatsworth facility Monday through Friday between 9am-5pm.
The expected hourly pay for this role is $20-22. The exact rate is determined by various factors including experience, skills, education, and budget.
