Overview
The Administrative Assistant insures all vehicle sales finance paperwork is processed, filed and followed-up with daily resolving any delayed funding. Also submit all service department warranty and extended service contract claims including resolving any suspended or unpaid claims.
Duties
1) Review contracts and acquire customer’s signature on all documents required for products purchased.
2) The Administrative Assistant in conjunction with the Business Manager or GM will process financing and leasing deals accurately and securing approval through financial sources to secure approval and through the proper federal, state and corporate channels
3) Understanding and complying with federal, state and local regulations that affect the new and used-vehicle and finance departments.
4) Maintaining strong relationships with lending institutions to have lots of program options and competitive rates
5) Ensuring compliance by following all local, state and federal regulations
6) Insure that every step in the Gold Star Business process including but not limited to full utilization of the TMS System.
7) Ensure customer sales path is followed.
8) Follow procedures to ensure timely and proper completion of all paperwork.
9) Ensure that all new customers are introduced to the service, parts, general merchandise departments and their personnel as required.
10) Ensure that each customer is greeted immediately, in a courteous and friendly manner.
11) Ensure that telephone transactions are handled quickly, and courteously.
12) Ensure customers are properly qualified for needs, wants, and ability to buy.
13) Follow the Gold Star methodology for vehicle sales, trade-ins and purchases.
14) Ensure the delivery to customer is an “EVENT” which endears the customer to the dealership.
15) Handle customer complaints reasonably, showing empathy and a positive attitude, and demonstrate our commitment to “Make Things Right”.
16) Attend training sessions to keep current with F&I techniques and department issues.
17) Complete all Daily DOCs and other required reports on time.
18) Develop monthly and annual objectives for the department in collaboration with GM.
Warranty Clerk
19) Work with the Service Manager to insure all warranty and extended service claims are filed and paid in a timely manner.
20) Submit each manufacturer claims as required
21) Monitor all manufacturer claims filed to insure payment
22) Handle any suspended or “action required” claim promptly and follow-up until paid.
23) Log all claims in the warranty claim tracker after submitted

Pay: $30,000.00 - $50,000.00 per year
