Administrative Assistant

Role Overview You are the operational backbone of a fast-growing Sacramento artificial turf company. You keep projects moving, customers informed, and the owner focused on sales.

Core Responsibilities

Payroll & Time Tracking

  • Administer employee time tracking through Workforce by QuickBooks (Intuit)
  • Review and approve timesheets weekly before payroll runs
  • Process payroll through QuickBooks; flag discrepancies to owner
  • Manage certified payroll reporting for any public works / prevailing wage jobs

Financial & Admin

  • Job costing — track materials and labor against project budgets
  • Receipts management and expense categorization in QuickBooks
  • Assist with insurance renewals, workers comp audits, and policy management

HR & Compliance

  • Maintain employee training certifications
  • Assist with onboarding new hires (I-9, W-4, Workforce setup)
  • Maintain DIR registration and licensing compliance calendar

Scheduling & Customer Communications (in the near future)

  • Manage all inbound leads and appointment scheduling
  • Send and track the 14-page home improvement contracts via DocuSign
  • Handle customer follow-up from signed quote through project completion
  • Coordinate crew schedules with foreman

Tools You'll Use Daily

  • QuickBooks Online + Workforce by Intuit (time tracking)
  • Slack (primary communication with owner)
  • Google Drive / Docs
  • DocuSign or similar e-signature platform
  • Square / Stripe (payment reference)

What We're Looking For

  • 2+ years in admin, bookkeeping, or operations — home services industry a plus
  • Comfortable working independently in a remote, fast-paced environment
  • Detail-oriented with strong follow-through
  • Discretion — you'll handle financial and customer data
  • Trades experience preferred

Compensation

  • $22 - $24 / hr based on experience
  • Peak season stipend available (April–September)
  • Flexible hours, fully remote

Pay: $22.00 - $24.00 per hour

Expected hours: 5.0 – 25.0 per week
