Job Title: Administrative Assistant – Level 3

Location: Pomona, California

Shift: Mon-Fri (8 AM -5 PM )

Pay Rate: $16/hr - $22/hr on w2

Job Description:

The Administrative Assistant Level 3 is a high-level administrative role responsible for performing a wide range of complex and routine administrative duties with minimal supervision. This role requires strong organizational skills, discretion with confidential information, and the ability to manage multiple tasks simultaneously.

Key Responsibilities:

  • Provide advanced administrative, secretarial, and clerical support.
  • Maintain broad knowledge of department policies, practices, and procedures.
  • Manage and coordinate schedules for an Executive Vice President and other managers.
  • Set up and organize meetings, including preparing materials and coordinating logistics.
  • Order office supplies and arrange office/computer equipment for new hires.
  • Handle confidential information with professionalism and discretion.
  • Support special projects as assigned.
  • Provide work direction to lower-level administrative staff within the department when needed.
  • Maintain filing systems and office documentation.
  • Utilize office equipment and various online applications effectively.

Required Skills & Qualifications:

  • High School Diploma required; relevant college coursework preferred.
  • 2–4 years of office administration or related experience.
  • Broad knowledge of office procedures, filing systems, and administrative processes.
  • Proficiency in Microsoft Word, Excel, Outlook , and related office software.
  • Strong interpersonal and communication skills.
  • Ability to multitask and manage priorities effectively.
  • Typing speed of 50 WPM .

Experience:

  • Typically requires 3–4 years of experience performing administrative, clerical, or secretarial functions.
