Administrative Assistant

We are looking for a detail-oriented Administrative Assistant to join our team on a contract basis located in the Greater Philadelphia Region. This role involves providing essential administrative support to senior leadership while ensuring smooth office operations and maintaining strong communication with internal and external stakeholders. If you are organized, proactive, and thrive in a dynamic environment, this position could be a perfect fit.


Here’s how you’ll contribute each day: 

• Schedule and manage meetings and appointments for executive leadership, ensuring their calendars are well-organized.

• Draft and edit letters, memos, and other business correspondence with precision.

• Communicate and maintain accurate records to support fundraising efforts.

• Coordinate with external agencies to facilitate the planning and setup of exhibitions and events.

• Perform general office tasks such as answering calls, data entry, and maintaining records.

• Handle confidential materials and liaise with high-profile individuals with discretion.

• Provide administrative support for special projects as needed.

• Act as a point of contact for internal and external inquiries, delivering excellent service.

• Assist in creating and distributing reports and presentations for leadership.

• Ensure office supplies and resources are adequately stocked and organized.

Other requirements for the Administrative Assistant position include and are not limited to:

• Proven experience in administrative support or office management roles.

• Exceptional organizational skills with the ability to multitask and prioritize effectively.

• Strong written and verbal communication skills, including attention to detail in documentation.

• Familiarity with office software such as Microsoft Office Suite and data entry tools.

• Detail-oriented approach and ability to handle sensitive information with discretion.

• Comfortable working independently and collaborating with external agencies.

• Experience in event coordination or working with donors is an advantage.

• Ability to adapt to a fast-paced environment and meet deadlines.
