Administrative Assistant

Job Summary:

Our client in the financial services sector is seeking a highly organized and professional Administrative Assistant to provide critical support to their team. The role requires managing day-to-day administrative tasks, supporting client-facing operations, and maintaining smooth office processes in a fast-paced, compliance-driven environment. Discretion, attention to detail, and familiarity with financial terminology are essential.


Key Responsibilities:

  • Manage calendars, schedules, and meetings for team members, including client appointments and internal review sessions.
  • Handle phone calls, emails, and correspondence professionally with clients and internal stakeholders.
  • Prepare, proofread, and format reports, presentations, and client communications.
  • Maintain organized records, including client files, contracts, and compliance documents, both digital and physical.
  • Assist with client onboarding and account documentation, ensuring accuracy and regulatory compliance.
  • Support preparation for audits, financial reviews, and reporting deadlines.
  • Coordinate travel arrangements and logistics for staff and client meetings as needed.
  • Order and manage office supplies and equipment.
  • Maintain strict confidentiality of sensitive financial and client information.
  • Perform other administrative duties as needed to support team efficiency.


Qualifications:

  • Bachelor’s degree required.
  • Previous experience in administrative support, preferably in financial services, banking, or investment management.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with financial software a plus.
  • Strong organizational and multitasking abilities, with meticulous attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work professionally under pressure and meet tight deadlines.
