Administrative Assistant 2 - Virtual Hearings
Full time | non-permanent
Clallam Bay Corrections Center

The Department of Corrections is seeking a highly motivated and qualified individual for the position of a non-permanent Administrative Assistant 2 at Clallam Bay Corrections Center.

Clallam Bay Corrections Center is a 900-bed male facility located on the point of the Olympic Peninsula. It is 50 miles west of Port Angeles and looks out over the Strait of Juan de Fuca at Vancouver Island. This facility houses medium and close custody incarcerated individuals. CBCC also operates a Restricted Housing Unit.

Duties

Job duties include but are not limited to:
  • Review requests for virtual/ telephonic court actions to determine appropriate response.
  • Plan, schedule and facilitate the venue requested court interactions with incarcerated individuals.
  • Act as the facility's primary Virtual/Telephonic Hearings Coordinator.
  • Communicate with facility personnel regarding decided actions.
  • Provide troubleshooting of virtual connections.
  • Acts with delegated authority in supervisor’s absence in specific area.
  • Complete electronic data tracking of legal and court action requests, as well as child-dependency actions.
  • Ensures all PRR tasks assigned are in accordance with direction and DOC policy.
  • Uses the OMNI Callout system to export facility daily callout into an excel spreadsheet and resolve all conflicts.
  • Sorts facility daily callout excel spreadsheet by designated areas, copies and distributes appropriate areas.
  • Monitor callouts conflict resolution inbox.
  • Under the facility Audit Compliance Manager (facility LLO) coordinates any operational reviews, audits, Corrective Action Plans (CAPS), safety inspections and security audits not otherwise assigned to another facility specialist.
  • Monitors, tracks and reports progress and maintenance of corrective action plans and policy compliance to the Superintendent.

Qualifications

Required qualifications:
  • High School Diploma or equivalent certification.
  • Basic computer proficiencies to include Outlook, virtual meeting platforms (Microsoft Teams, Zoom etc.), Sharepoint, etc.

Preferred/Desired Qualifications:
  • One (1) year of experience as an Administrative Assistant 1 or an Office Assistant 3.
OR
  • An associate degree from an accredited university or college.*
  • Knowledgeable and well-versed in DOC Policies to include but not limited to:
    • DOC 450.200 Telephone Use by Incarcerated Individuals
    • DOC 490.800 PREA Prevention and Reporting
    • DOC 590.500 Legal Access for Incarcerated Individuals
  • Clerical or office work experience may be substituted for education on a year-for-year basis.
