Step into a trusted, high-impact role at the heart of leadership operations. As the Confidential Assistant to the Deputy Assistant Secretary, you’ll serve as a key partner in keeping priorities on track, communications flowing, and critical initiatives moving forward.
In this dynamic position, you’ll manage a complex executive calendar, coordinate meetings and high-level conference calls, and serve as a central point for tracking reports, assignments, and correspondence. Minimum Qualifications

Four years of experience in administrative services.

EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information

Job Duties:

  • Serves as confidential assistant to the OBH Deputy Assistant Secretary;
  • Maintains the DAS' calendar, makes tentative appointments based on knowledge of schedule and activities;
  • Reminds staff of appointments, and others items that may arise requiring DAS' attention;
  • Tracks and monitors reports, assignments and correspondence received;
  • Coordinates telephone conference calls, conference meetings and/or workshops chaired by the Deputy Assistant Secretary and/or higher staff;
  • Ensures assigned primary, secondary, and unit manager time administrator duties are performed in accordance with applicable procedures and policies;
  • Prepares travel documents and authorizations or travel expense accounts, makes travel arrangements with hotel, travel agency, car rental agencies and interprets travel regulations;
  • Screens Deputy Assistant Secretary calls for nature of importance and priority level.
