Job Purpose: The job holder will provide administrative support to the program, ensuring efficient operations through effective communication management, scheduling coordination, and accurate document processing, thereby facilitating seamless workflow and supporting both internal and external stakeholders.


Core Responsibilities:

● Calendar and Meeting Management: Manage program calendars, schedule appointments, and

coordinate logistics for meetings and events

● Communication Management: Handle internal and external communications, including emails and phone calls, ensuring clear and timely responses

● Record and File Management: Maintain organized physical and digital filing systems, ensuring

efficient access to records

● Document Preparation: Prepare documents such as reports, letters, and event materials

● Procurement and Expense Processing: Process purchase orders, travel requests, and supply

requisitions

● Event Coordination: Assist and lead organizing events, workshops, and meetings, including catering and room setup

● Supply Inventory Management: Track and maintain supplies and inventory

● Coordination with Stakeholders: Coordinate with stakeholders, and external vendors for

administrative requests, business needs, and projects

● Interdepartmental Liaison: Serve as a point of contact between the department and university

offices

● Reports: Prepare and follow up on monthly required reports

● Compliance with University Policies: Ensure adherence to university administrative protocols and

data privacy standards

● Data Management: Monitor and record student and instructor performance, attendance, and

engagement; ensure all logs and relevant documentation are complete and up to date

● General Administrative Support: Perform other administrative duties as assigned


Qualifications:

Education and Experience:

● Bachelor’s degree in a relevant field

● From zero to four years of experience in an administrative support role


Skills:

● Organizational: Good time management, scheduling, and record-keeping skills

● Communication: Verbal and written communication; ability to interact professionally with all levels of staff

● Technical: Proficient in Microsoft Office Suite, e.g. Word, Excel, and Outlook, and standard office

equipment

● Problem-Solving: Ability to handle multiple tasks with great attention to detail
