The mission of the Department of Graduate Admissions is to assist all eligible students to successfully apply and enroll in graduate programs at Bridgewater State University. Position Summary:
The Administrative Assistant I is responsible for the daily administrative operations and provision of admission counseling support in the Office of Graduate Admissions in the College of Graduate Studies. The Administrative Assistant I is committed to extraordinary customer service for all prospective graduate students, staff, and faculty at BSU.

This is a 12 month, AFSCME position and is subject to the terms of that unit agreement.
Tour of Duty: 8:45 am to 5:00 pm, Monday through Friday (Saturday and Sunday as days off). Willingness to work on a flexible schedule as required, including evenings and weekends.
This position is located in Bridgewater, MA and may be eligible for a hybrid schedule in accordance with BSU remote work policy.

Essential Duties:-
Respond to all department emails and phone calls from prospective students, enrolled students, and DGCE graduate chairs. Answer questions regarding programs, acceptance packages, registration process, non-degree and reinstate processes, licensure, tuition/fees, deadlines and admissions requirements.

Manage and maintain the Assistant Deans calendar, including scheduling meetings, coordinating appointments, and prioritizing time-sensitive requests.

Enter contact information into the CRM for all prospects who call, walk-in or send information to the office.

Assist with administrative tasks in the CRM related to graduate prospective and applicant records.

Provide administrative support to the department to increase admissions efficiency. Assist with the indexing of documents to applicants file and notifying applicants regarding application status.

Download and index official transcripts from online services and print, sort, and scan all mailed documents for applications (resumes, letters of recommendation, personal statements, MTELs, etc.).

Distribute all mail in Graduate Admissions.

Provide information and follow-up to staff regarding individual student inquiries regarding status of application, deferral of application, change of program, change of advisor, fee waiver requests, enrollment letters, reinstatements, holds and withdrawals.

Prepare and mail out acceptance packages. File folders for prospective and accepted students.

Work well with a diversity of individuals on- and off-campus, being cognizant of and sensitive to cultural differences.

Required Qualifications:

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.
I. An Associates or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.
II. An Associates or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
