Job Responsibilities

• Provide front desk administrative support to multiple departments within a Civil Engineering and Design firm.
• Greet clients, answer and appropriately direct a moderate amount incoming calls, and manage daily office operations
• Coordinate new hires regarding office space, computer/phone equipment, and supplies
• Oversees purchase of office supplies and overall front office activities
• Coordinate food ordering, catering, and room settings (20-25 monthly). Set up and clean-ups for breakfast, lunch, and office events.
• Make travel arrangements and conference reservations as needed (5-6 monthly)
• Respond to inquiries and informational requests
• Assist with composing, compiling, and binding marketing materials for project pursuits
• Prepares FedEx, UPS, and other express carrier packages for shipment
• Other duties as assigned and uses greater judgement and initiative to determine the approach or action to take in non-routine situations.

Job Requirements

• Minimum of 2 years administrative experience, and proven ability to work with limited supervision
• Exhibits a professional and welcoming front office presence
• Civil engineering office support experience - Preferred
• Must have excellent time management skills, and ability to coordinate with all levels of staff and handle multiple tasks
• Strong proof reading and editing skills and grammar
• Proficient in Word, Excel, and Outlook

Experience working in the professional services industry is a plus. Dependability/Reliability is a must.
