Administrative Assistant/Marketing

Job Title: Admin & Marketing Assistant

Job Overview

We are looking for a proactive, highly organized Admin & Marketing Assistant with 4 to 5 years of experience supporting day-to-day operations while also helping execute marketing and communications tasks. This role supports leadership and internal teams by keeping schedules, documents, and priorities on track, while also assisting with content, campaigns, and coordination. The ideal candidate is detail-oriented, professional, discreet, and comfortable using AI-powered productivity tools to improve speed, quality, and workflow.

Key Responsibilities: Administrative Support

  • Manage calendars, appointments, meetings, and reminders for executives and team members.
  • Prepare and manage correspondence, reports, and business documents.
  • Maintain organized digital and physical filing systems.
  • Handle phone calls, emails, and general inquiries professionally and promptly.
  • Prepare meeting agendas, take minutes, and circulate action items and follow-ups.
  • Coordinate travel arrangements, accommodation, and itineraries when required.
  • Assist with presentations, spreadsheets, proposals, and routine reporting.
  • Manage office supplies, coordinate with vendors, and support basic office operations.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Support management with additional administrative tasks as assigned.

Marketing & Communications Support

  • Assist with preparing marketing materials (basic flyers, company profiles, presentations, and email templates).
  • Support social media and content coordination (posting schedules, captions, simple edits, and content formatting).
  • Help coordinate campaigns and events (vendor coordination, timelines, checklists, and follow-ups).
  • Maintain and update marketing databases (contacts, partners, media lists, and simple trackers).
  • Coordinate with internal teams and external designers/agencies to ensure deliverables are completed on time.

AI-Enabled Productivity

  • Use AI tools to draft and refine emails, social posts, documents, and templates.
  • Summarize meeting notes and convert discussions into clear action items.
  • Support data organization, trackers, and basic reporting using AI-assisted workflows.
  • Continuously improve efficiency by streamlining routine processes with AI and automation tools.

Qualifications & Requirements

  • 4 to 5 years of experience as an administrative assistant, executive assistant, or marketing specialist.
  • Strong organizational and multitasking skills with high attention to detail.
  • Excellent written and verbal communication skills in English is mandatory
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and common office tools.
  • Experience using AI productivity tools (e.g., ChatGPT, Notion AI, Otter, or similar) for drafting, planning, and task management.
  • Ability to work independently, prioritize effectively, and meet deadlines.
  • Strong interpersonal skills and a professional, service-minded approach.
  • Proven discretion and professionalism in handling confidential matters.

Preferred Attributes

  • Experience supporting executives or senior management.
  • Comfortable in a fast-paced environment with shifting priorities.
  • Proactive, solution-oriented, and resourceful.
  • Basic familiarity with marketing tools (e.g., Canva, Meta Business Suite, LinkedIn, Mailchimp, or similar) is an advantage.

Pay: From AED2,500.00 per month
