Administrative Assistant/Secretary

Job Summary
We are seeking a dynamic and highly organized Administrative Assistant/Secretary to join our team. This vital role involves providing comprehensive administrative support to ensure the smooth operation of our office environment. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, both bilingual and monolingual candidates are encouraged to apply.

Responsibilities

  • Greet visitors and manage the front desk with friendly, professional phone etiquette, ensuring a positive first impression.
  • Operate multi-line phone systems efficiently, directing calls accurately and taking detailed messages when necessary.
  • Perform data entry, filing, and document proofreading to maintain accurate records and ensure high-quality correspondence.
  • Assist with office management duties such as supply ordering, maintaining organized filing systems, and overseeing general administrative operations.
  • Provide exceptional customer service by supporting clients, vendors, and internal teams with professionalism and responsiveness.
  • Handle clerical tasks such as typing reports, managing email correspondence, and supporting personal assistant functions as needed.

Experience

  • Prior office experience in administrative or clerical roles is required; experience in medical or dental reception is a plus.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent communication skills in both English and bilingual (additional languages are advantageous).
  • Proven ability to handle customer support scenarios with patience and professionalism.
  • Experience in calendar management, proofreading documents for accuracy, and managing office supplies is highly desirable.
