Job Description
The Administrative Coordinator serves as the face of the organization and performs diversified and confidential administrative duties. This Coordinator will provide administrative support to the CEO and the Human Resources department. This Coordinator is a trusted resource to the organization and is responsible for reception and office administration.
Responsibilities
Reception and Office Management:

Oversee reception and office administration, including welcoming and registering guests, answering telephone calls, and assisting with mailing and faxing.

Conduct all duties associated with supplies management, including buying and restocking, utilizing competitive pricing, and staying within a strict budget.

Prepare expense report for HR, facilities, and office-related expenses and submit to supervisor for review.

Coordinating external facility events.

Managing and coordinating conference room scheduling

Prepare and send organizational announcements such as anniversary and birthday emails.

Partner with facilities staff/contractors to ensure LCLC facilities and grounds are clean, safe, and well maintained.

Function as on-site point of contact for project contractors and elevate facilities needs to LCLC management, as appropriate.

Collaborate with facilities and HR management to ensure efficient building operations.

Inform and work with IT to address problems with equipment, copiers, computers, server, phones, and internet to ensure that all technologies work properly.

Assist with coordination and preparation of staff events. Assist with organization and community engagement events.
Executive, Human Resources, and Board of Directors Support:

Take the lead in arranging the logistics for all board related meetings. Prepare agendas, manage meeting invites and reminders, take minutes, and assist with meals when appropriate. Provide other meeting assistance as needed.

Provide administrative support to the CEO, including but not limited to email correspondence, travel arrangements, calendar management, and document maintenance.

Assist with preparing orientation and onboarding materials. Gives facilities tours to new hires and provides office keys as needed. Create or procure business cards for staff members.

Develop and administer organizational surveys, and collect employee feedback and suggestions.

Maintains company organization charts, email distributions and the employee directories. Assists with other human resource related administrative tasks.

Other duties as assigned.
Required Qualifications

Bachelor’s degree or an equivalent combination of education and experience.

At least one year of administrative experience.

Exceptional organizational and administrative skills.

Excellent written and verbal communication. Ability to communicate with all organizational levels, including the Board of Directors.

Time management skills and ability to manage priorities and workflow.
-
Strong interpersonal skills and welcoming demeanor.

Integrity and ability to main confidentiality.

Good judgment, with the ability to make timely and sound decisions.

High degree of computer literacy (Microsoft Office Suite, Google Suite), and demonstrated ability to learn new programs.

Action-orientation, adaptability, innovativeness, and collaborative approach required for succeeding within a small, dynamic, and diverse office.

Current driver’s license, good driving record, evidence of insurability, and reliable access to a vehicle.
