Administrative Executive

We are seeking a highly organized and proactive Administrative Executive to support sales, marketing, and management operations. The role involves working with leads, managing CRM systems, coordinating communications, and providing executive-level administrative support, including meeting coordination and calendar management. This position is essential for maintaining structured workflows, clear communication, and efficient day-to-day operations.

Key Responsibilities

Lead & CRM Management

  • Receive, register, and manage incoming leads from multiple channels (website, email, WhatsApp, campaigns, brokers, etc.)
  • Accurately enter, update, and maintain lead data in the CRM system
  • Monitor follow-ups, reminders, and lead progress to ensure no inquiries are missed
  • Prepare basic lead and activity reports when required

Client & Communication Support

  • Communicate with potential clients in a professional and timely manner via email, phone, and messaging platforms
  • Coordinate follow-ups, document sharing, and appointment scheduling
  • Act as a communication bridge between clients, sales, marketing, and management teams
  • Ensure consistent and accurate information is shared with leads

Meetings, Calendar & Coordination

  • Coordinate and schedule internal and external meetings
  • Manage and maintain the co-founder’s calendar, including meeting planning, reminders, and priority management
  • Prepare meeting agendas when required
  • Attend meetings and record meeting minutes, action points, and follow-ups
  • Distribute meeting minutes and track execution of agreed actions
  • Coordinate office meetings and ensure all participants are properly informed and prepared

Administrative & Operational Support

  • Maintain organized records, databases, and digital folders
  • Support preparation of presentations, reports, and internal documentation
  • Assist with internal coordination between departments
  • Handle general administrative and operational tasks related to client and office management

Requirements & Qualifications

  • Previous experience in an administrative, executive assistant, sales support, or CRM-related role
  • Experience working with CRM systems (HubSpot or similar)
  • Strong written and verbal communication skills in English (additional languages are a plus)
  • Excellent organizational and time-management skills
  • Proactive, detail-oriented, and able to multitask in a fast-paced environment
  • Proficiency in MS Office / Google Workspace

Job Type: Full-time

Pay: AED5,500.00 - AED7,000.00 per month
