Administrative & Financial Systems Coordinator (Part-Time, Hybrid)

Pay: $32 – $40 per hour (DOE)

Schedule: Part-time – weekdays flexible 20 hours per week to start

Job Type: Part-Time / Seasonal

Location: Kent, WA (Hybrid – Remote with the weekly office meeting.)

About the Role

We are hiring a part-time Administrative & Financial Systems Coordinator to play a key role in supporting our leadership team with accurate financial reporting, bookkeeping, and reconciliation — while also assisting with implementing and improving internal workflows, administrative procedures, and business systems. This hybrid role is ideal for a highly organized professional with strong accounting skills and a proactive mindset around operations. You will be the primary support for accounting activities and help document and optimize systems that improve how our team tracks projects, coordinates operations, and scales our processes for the future. The role will also assist with project scope coordination, bidding documentation, and internal process management as part of ongoing business operations.

Key Responsibilities:

  • Perform weekly account reconciliations and maintain clean financial records in QuickBooks Online
  • Enter journal entries, including allocation of loan principal and interest
  • Prepare weekly and monthly financial reports (P&L, Balance Sheet, lending summaries, custom
  • reports)
  • Monitor financial activity by class to provide reporting on project-level profitability
  • Assist in the development of budgets, forecasts, and internal tracking tools
  • Collaborate with the Office Manager to ensure categorized and consistent transaction data
  • Support the implementation of administrative workflows using monday.com and similar platforms
  • Help document internal procedures and improve consistency across office systems
  • Maintain project logs, internal databases, and recurring task tracking
  • Assist leadership with documentation, vendor coordination, and cross-department project support
  • Support project scope planning and assist with bid documentation and tracking, including maintaining bid logs and supporting leadership with internal process management

Qualifications:

  • 5+ years of experience in bookkeeping/accounting with QuickBooks Online or similar systems
  • Experience with financial reporting, journal entries, and reconciliation
  • Ability to generate and interpret profit/loss reports, balance sheets, and custom financial summaries
  • Understanding of class-based financial tracking and project-level reporting
  • Strong organizational and systems-thinking skills
  • Experience using Monday.com, Asana, or similar platforms for workflow or project management
  • Excellent written and verbal communication skills
  • Ability to work both independently and collaboratively in a hybrid environment
